Getting Started with rezStream Devices

rezStream Devices connects rezStream Cloud with compatible smart devices to help automate guest access and property operations. This guide walks you through setting up rezStream Devices, connecting and assigning your devices, importing reservations, configuring guest notifications, and testing guest access.

rezStream Devices connects rezStream Cloud with compatible smart devices to help automate guest access and property operations.

rezStream Cloud remains your primary system for managing reservations and guest information. rezStream Devices uses that information to create and manage guest access to your connected devices. Guests can then use their PIN or Access My Property to access the property and available smart devices during their stay.

This article walks through the initial setup, including reviewing your units, connecting and assigning devices, reviewing device settings, verifying reservations, setting up guest notifications, and confirming guest access.

Before You Begin

Setup Requirements

  1. Your rezStream Devices subscription must be activated by rezStream Support.
  2. Your rezStream Cloud user must have the Integrations user permission enabled, which grants access to rezStream Devices.
  3. Your compatible smart devices should be installed and connected to their manufacturer's account.
  4. Have your smart device account login credentials available to authorize and connect your account to rezStream Devices.
  5. Which smart devices should be assigned to each rezStream unit.
  6. Your standard check-in and check-out times.
  7. Whether guest access should begin and end at the scheduled check-in and check-out times or include an additional time buffer.
  8. Whether guest PIN codes should use the last four digits of the guest’s phone number or be randomly generated.
  9. Who should receive device and low-battery notifications.
  10. Whether guests should receive access information by Email, SMS, or both.
  11. When guest access notifications should be sent.

          Things to Consider Before Your Onboarding

          Before your onboarding session, it may be helpful to think through the following preferences. We’ll configure these settings together during your session:

          1. Which smart devices should be assigned to each rezStream unit.
          2. Your standard check-in and check-out times.
          3. Whether guest access should begin and end at the scheduled check-in and check-out times or include an additional time buffer.
          4. Whether guest PIN codes should use the last four digits of the guest’s phone number or be randomly generated.
          5. Who should receive device and low-battery notifications.
          6. Whether guests should receive access information by Email, SMS, or both.
          7. When guest access notifications should be sent.

          Getting Started

          Step 1: Access rezStream Devices

          1. Sign in to rezStream Cloud.
          2. Navigate to Integrations > rezStream Devices.

          3. Click Manage Your Devices.

          4. The first time you access rezStream Devices, you will be prompted to sign in to rezStream Cloud again.
          5. Review the permissions request and click Accept to continue.

             

          6. The rezStream Devices dashboard will open.

          Step 2: Review Your Units

          Your existing units are automatically imported from rezStream Cloud when rezStream Devices is initially connected.

          From the Units page, confirm that all expected units appear. It may take a few minutes for all units to finish importing.

          If any units are still missing after a few minutes, click Refresh Units to import them. 

          Important: If you add a new unit in rezStream Cloud later, return to the Units page in rezStream Devices and click Refresh Units to import the new unit.

          Step 3: Configure Unit Settings

          Unit settings can be configured across multiple units at once using Bulk Update or individually for units that require different settings.

          Units - Bulk Updates

          If the same settings apply to multiple units, use Bulk Update to apply them at once and save time.

          Units - Individual Updates

          If a unit requires different settings, locate the unit from the Units page and click the three dots in the Operations column. Select Edit to open the Unit Settings.

          Each unit can be configured with offsets to accommodate early check-ins and late check-outs. Offsets can be set in increments such as 15, 30, or 45 minutes or several hours.

          By default:

          • PIN codes are generated using the last 4 digits of the guest's phone number. Properties can change their settings to use randomly generated PIN codes, if preferred. 

          • If a guest does not have a phone number on file, a random PIN is automatically generated. 

          • If the guest's phone number conflicts with an existing PIN, a random PIN is automatically generated. 

          • PIN codes are removed after the reservation ends, with the option to keep them active for up to seven days.

          💡 Tip: Be sure to check that each unit is set to the correct time zone. The time zone is used to determine when guest access begins and ends, so an incorrect setting may cause access to activate or expire at the wrong time.

          Step 4: Import Your Devices

          Once your units are available, connect your compatible smart devices. 

          rezStream Devices supports compatible smart locks, thermostats, garage doors, and other connected devices.

          Important: If you have questions about device compatibility, contact rezStream Support at 303-872-0220, Option 2 for Support.

          From the Devices page:

          1. Click on Import Devices

          2. Select the device manufacturer and toggle Connected to On (green).

          3. Sign in to the manufacturer's account.

          4. Follow the prompts to connect the account.

          5. Once connected, the devices will import one by one.

          6. Confirm the expected devices appear on the Devices page. 

          rezStream Devices supports compatible smart locks, thermostats, garage doors, and other connected devices.

          Important: If you add a new device to a manufacturer account that is already connected to rezStream Devices, do not reconnect the account.  Click Refresh Devices to import the new device. Reconnecting an existing account may create duplicates resulting in errors.

          Step 5: Assign Devices to Units

          After your devices have been imported, assign each device to the appropriate unit.

          1. Locate the device on the Devices page.

          2. Use the Assigned Units drop-down to select the appropriate unit.



          3. Confirm the device displays a green status indicator, indicating the device is assigned to a unit.

          4. Confirm the device displays a green ONLINE indicator, indicating the device is active and connected.

          Important: Devices must be assigned to units before reservations can be processed for guest access.

          Step 6: Review Device Settings

          Device settings can be updated across multiple devices at once using Bulk Update or individually for devices that require different settings.

          Devices - Bulk Updates

          If the same settings apply to multiple devices, use Bulk Update to apply them at once and save time.


           
          Devices - Individual Updates

          If a device requires different settings, locate the device from the Devices page and click the three dots in the Operations column. Select Edit to view the available settings.


           
          rezStream Devices includes configurable settings for supported devices, including smart locks and thermostats.

          Depending on the device, available settings may include:

          • Guest and vacant modes
          • Heating and cooling settings
          • Temperature guardrails
          • PIN code settings
          • Low battery notifications
          • Device roles 

          💡 Tip: Use the default device settings unless your property has specific operational requirements.

          Smart Lock Battery Notifications

          By default, low battery notifications for smart locks are sent when the battery level reaches 30% or below. Notifications are sent daily until the batteries are replaced.

          The notification threshold can be adjusted across multiple locks using Bulk Update or for an individual lock.

          Use Bulk Update to adjust the notification threshold for multiple smart locks at once.

          The notification threshold can also be adjusted for an individual smart lock from its device settings.

          Step 7: Configure Default Settings for Future Imports

          Default Settings allow you to choose the settings that will be applied to new units, devices, backup codes, and users as they are added to rezStream Devices.

          To review these settings, click your user icon in the upper-right corner and select Default Settings.


           
          Review the available defaults for Units, Devices, Backup Codes, and Users. rezStream recommends using the default settings when possible, but you can adjust them based on your property needs.



          Important: Changes made under Default Settings apply to new information added to rezStream Devices. They do not update units or devices that are already in the system. To update existing items, use the Bulk Update or individual update options for that section.

          Step 8: Import Reservations

          Once devices are connected and assigned to units, reservations can be imported from rezStream Cloud. Reservations are processed within a rolling 14-day window, and the generated SET® PIN code can be viewed from the Reservations page.

          Important: Devices must be connected and assigned to their units before importing reservations. Reservations will only import for units with an assigned device.


           
          When you are ready to import reservations, go to the Reservations page and click Refresh Reservations. All eligible reservations within the rolling 14-day window will be imported.

          After the initial import, new reservations are automatically imported approximately every 5 minutes.


           
          Guest contact information, including a phone number or email address, is also imported with the reservation and is used to provide guests access through Access My Property.

          Refresh Reservations 

          Use Refresh Reservations to retrieve reservations that do not currently appear in rezStream Devices. For example, if a new reservation was recently added in rezStream Cloud and has not yet imported, click Refresh Reservations to retrieve it immediately.

          Step 9: Edit a Reservation

          Whenever possible, make reservation changes in rezStream Cloud. Updates made in rezStream Cloud are automatically sent to rezStream Devices and typically take effect within a few minutes.

          For access-specific changes that are not managed in rezStream Cloud, edit the reservation directly in rezStream Devices. From the Reservations page, select Operations > Edit.


           
          Use rezStream Devices to make changes such as:

          • Adjusting the guest's access start or end time for an early check-in or late check-out.
          • Updating guest contact information when an immediate change is needed. 

          For urgent access changes, you can also make changes directly through the device manufacturer's app when available.

          Reprocess a Reservation after Editing

          After making a direct edit in rezStream Devices, reprocess the reservation to ensure the updated information is processed. This includes changes to the guest's phone number, email address, access times, or PIN code settings.

          Reprocessing retries adding the SET® PIN code to the connected device and can also be used after resolving a device connectivity issue.

          Reprocessing an individual reservation is recommended whenever possible.

          From the Reservations page, locate the reservation and click the three dots in the Operations column. Select Reprocess Reservation.


           
          If multiple upcoming reservations need to be reprocessed, click Reprocess All Upcoming Reservations at the top of the Reservations page.


           
          💡 Tip: Keep reservation information in sync by making changes in rezStream Cloud whenever possible. Use rezStream Devices for changes specific to guest access.

          Step 10: Set Up Guest Notifications 

          Guest notifications are configured and sent from rezStream Devices to provide guests with access codes and other arrival information.

          Communication Channels

          Notifications can be sent by:

          • Email –  Emails are sent from the guestnotifications.com domain at no charge to the property. Guest replies are sent directly to the property's email address.
          • SMS –  Text messages sent through rezStream Devices are $0.10 per message and are billed monthly. 

          Each communication channel can be turned on or off from the Templates page. A communication channel must be On for notifications using that channel to be sent.

          The same setup process applies to each available communication channel.

          Configure Notification Templates

          1. Navigate to Add-ons > Guest Notifications > Templates.

          2. If the same notification template applies to all units, use the available Bulk Update option. 

          3. Customize the message content. 

          4. Configure the recipient and send timing, as applicable.

          5. Preview the message and save your changes. 

          Important: Changes to a notification template are automatically applied to new reservations imported into rezStream Devices. Reservations that are already in rezStream Devices must be reprocessed to apply the updated template.

          Turn On the Communication Method

          1. Once your template is configured, toggle the Communication Method to On. This also displays the individual units if you need to customize their templates.




            ⚠️ Note: When you toggle on a Communication Method, notifications for eligible reservations are immediately added to Notification History and may have Auto-Notify enabled. 

          2. Navigate to Add-ons > Guest Notifications > History and review the Schedule and Auto-Notify columns. Turn off Auto-Notify for any notifications scheduled to send before you finish configuring your templates.

          Configure Templates for Individual Units

          1. If an individual unit requires different notification settings, return to Add-ons > Guest Notifications > Templates and make sure the Communication Method is On. The individual units will then appear. Locate the unit and use the Operations menu to edit the notification template. 

          2. Customize the template as needed, then preview and save your changes.

          3. After the individual templates are updated and saved, return to Guest Notifications > History. Select Send Now for notifications that should have already been sent, or turn Auto-Notify back on for notifications scheduled to send in the future.

          Notification History

          Once notifications are configured, use the History tab to review scheduled and previously sent messages.

          Notifications can also be sent immediately when needed.

          Step 11: Guest Access with Access My Property Web and Mobile App

          Guests can use the Access My Property web or mobile app without creating an account to access the property and manage available smart devices during their stay.

          To sign in, the guest:

          1. Enters the phone number or email address associated with their reservation. 

               

          2. Receives a one-time PIN (OTP) to verify their identity. 

          3. Signs in to view and control the devices available during their stay. 

          Guests only have access to devices assigned to their unit during their reservation period. Access begins at the scheduled check-in time and ends at the scheduled check-out time. Access offsets can be configured for each unit to allow additional time before check-in and after check-out.

          💡 Tip: Access My Property can be used from a web browser, so guests do not need to download the mobile app.

          Step 12: Test Your Setup

          Before using rezStream Devices with guests, we recommend creating a test reservation to confirm your setup is working as expected.

          1. Create a test reservation in rezStream Cloud with an arrival date of today for a unit with an assigned device. Use a phone number and/or email address you can access for testing.

          2. Confirm the reservation appears in rezStream Devices and that a SET® PIN was generated.

          3. In rezStream Devices, go to Guest Notifications > History, locate the test reservation, and select Send Now.

          4. Review the email or text message you receive and confirm the guest access information is correct.

          5. Use Access My Property with the phone number or email address on the test reservation to sign in and view the SET® PIN.

          6. Once the guest access period begins, confirm the devices assigned to the unit appear in Access My Property.

          7. Test the SET® PIN and guest access on the physical device to confirm everything is working as expected.

          8. After testing is complete, cancel the test reservation in rezStream Cloud.

          rezStream Devices Best Practices

          • Make reservation changes in rezStream Cloud whenever possible. Changes are automatically sent to rezStream Devices and typically take effect within a few minutes.

          • Keep guest phone numbers and email addresses current in rezStream Cloud so guests can receive notifications and access Access My Property.

          • Use Refresh Reservations if an expected reservation does not appear in rezStream Devices.

          • After making a reservation change directly in rezStream Devices, use Reprocess Reservation to ensure the updated information is processed.

          • After updating a Guest Notification template, reprocess any existing reservations that should receive the updated template. Template changes are automatically applied to new reservations imported after the change.

          • Check the Devices page regularly for device connectivity and low battery notifications.

          • When adding a new device to an already connected manufacturer account, use Refresh Devices rather than reconnecting the account.

          • If you add a new unit in rezStream Cloud, return to the Units page and use Refresh Units to import it.

          • Review Notification History to confirm upcoming guest notifications are scheduled as expected.

          Frequently Asked Questions

          How long does it take for changes in rezStream Cloud to appear in rezStream Devices?Changes are typically sent to rezStream Devices within a few minutes.

          Why don't I see all of my units?
          It may take a few minutes for units to finish importing. If a unit is still missing, go to the Units page and click Refresh Units.

          I added a new smart device. How do I import it?
          If the manufacturer's account is already connected, go to the Devices page and click Refresh Devices. Do not reconnect the manufacturer account, as this may create duplicate devices.

          Why isn't a reservation showing in rezStream Devices?
          Reservations are processed within a rolling 14-day window and only import for units with an assigned device. If an eligible reservation does not appear, click Refresh Reservations.

          What's the difference between Refresh Reservations and Reprocess Reservation?
          Use Refresh Reservations to retrieve a reservation that does not currently appear in rezStream Devices. Use Reprocess Reservation when a reservation is already present and needs to be processed again after a direct edit or device connectivity issue.

          I updated my Guest Notification template. Why does an existing reservation still show the previous template?
          Template changes are automatically applied to new reservations imported into rezStream Devices. If the reservation was already imported when the template was changed, reprocess the reservation to apply the updated template.

          Where should I make changes to a reservation?
          Make reservation changes in rezStream Cloud whenever possible. Use rezStream Devices for access-specific changes that are not managed in rezStream Cloud, such as adjusting guest access times.

          Where can I find a guest's access code?
          The generated SET® PIN code can be viewed from the Reservations page in rezStream Devices.

          Does a guest need to download an app to access the property?
          No. Guests can use Access My Property from a web browser or download the mobile app.

          Does a guest need to create an Access My Property account?
          No. Guests sign in using the phone number or email address associated with their reservation and verify their identity with a one-time PIN.

          What happens if a guest replies to an access email?
          Guest notification emails are sent from the guestnotifications.com domain. Replies are directed to the property's email address.

          Can I send a guest notification immediately?
          Yes. Notifications can be sent immediately from Notification History when needed.

          Are SMS notifications free?
          No. SMS messages sent through rezStream Devices are subject to a $0.10 messaging fee. Messaging fees are billed monthly.
