Extended Rates

Creating an Extended Rate

Create a new Rate in Configuration > Rate Plan.

Click on the rate plan you would like to edit

Click ‘Add a Rate’

Ensure to set the Rate Type to “Extended”.  The rate type cannot be changed after the rate is created. Fill out the rate information, then click ‘Save’

Extended Rate Seasons

The extended rate seasons have a few more settings than daily rates, but are simplified by the fact that there is only one per season (opposed to the up to 7 you can have with a daily rate).

  • Rate is the total price for the entire extended stay.
  • Period Length In Days will be the total number of days for the extended rate.
  • Closed to Arrival and Closed to Departure enables you to select/restrict Arrival & Departure days. For example below, the extended rate would be setup to allow Saturday to Saturday.

Allow Extra Days can be toggled to 'Yes' if you would like to allow days beyond the Period Length in day. There is a number of Minimum & Maximum Extra Days you can also apply if desired.

The settings for an Extended Rate Season are as follows:

  1. Name: Just like the Daily Rate Seasons this is an optional way to help identify the season.
  2. Promo Code: Again this is the same as the Daily Rate Seasons and is used to allow access to the season if a specific code is used on the Booking Engine
  3. Start Date: Identified the date the rate takes effect.
  4. Rate: The amount that should be charged for the period length (e.g. week, 3 days, etc.)
  5. Base Capacity: the number of occupants allowed before extra charges is added.
  6. Period Length in Days: Identifies the number of days the rate applies to.
  7. Minimum Length of Stay: Fewest number of nights the season can be booked.
  8. Maximum Length of stay: Maximum number of nights the season can be booked.
  9. Extra {guest type}: How much to charge for each additional guest of that type over the Base Capacity.
  10. Closed to Arrival: Days of the week that arrivals are not permitted by the season.
  11. Closed to Departure: Days of the week that departures are not permitted by the season.
  12. Allow Extra Days: Identifies if it is possible to book the season for periods that are not exactly divisible by the Period Length.
  13. Extra day rate: the amount to charge for days that are booked in addition to the period (e.g. day 8 if you have a weekly rate)
  14. {guest type}: How much to charge for each additional guest of that type over the Base Capacity for extra days.
  15. Minimum Extra Days: Minimum number of days beyond the last full period before you can book with the extra day's charges.
  16. Maximum Extra Days: Maximum number of days beyond the last full period you can book with the extra day's charges.

If extra days are not allowed but the days are not closed to departure you will be able to book the season but will be charged the full period charge for any extra days.

Extended rates are not compatible with the OTAs, be it directly to Booking.com or in conjunction with the Channel Manager. 

Extended Rates on the Occupancy Map

Units with extended rates as their default rate can be identified on the occupancy map by a Length indicator along the bottom of the day cell. The number indicated is the number of days in the period, there is also an arrow to help identify that you will need that many days to get the rate displayed.

 

Extended Rates on the Booking Engine

Extended rates are bookable on the booking engine, they will show restrictions if the requirements for the stay are not met. They also display the rate details as they are actually being charged but will still calculate the average per day if that is how you have the be set up.

Invoicing

Invoices for any extended rates will apply the full amount to the first night of the reservation.
