      Printing the occupancy map

      Overview

      Printing the occupancy map works best in the Google Chrome browser. However, it can be printed in Internet Explorer and Firefox, but with a few extra steps.  Also, most browsers do not default to printing background colors, so if your occupancy map isn’t printing as it shows on the screen, please take a look at the “Missing Occupancy Map Colors or Borders” section for your browser on this page.

      Printing from Google Chrome

      1. From the occupancy map, select the print icon on the occupancy map toolbar. This will open the “Print Occupancy Map” window.

      2. On the print occupancy map window, choose your start date, the number of days you would like to print, and the page width.

      *If you are printing to 8.5” x 11” paper, choose a width of 8” for portrait orientation or 10.5” for landscape orientation.

       

      1. After making your selections, click the preview button to see how the occupancy map will look for printing and to update the preview with your choices from step 2. (Note: You must first generate this preview before you can print.)

      2. Select the print button (PrintButton.png) in the upper right-hand corner of the screen to generate the printable occupancy map. *Please note: This printable version will open in a new browser tab in Google Chrome.  You should automatically be taken to this new tab. If you choose not to print, please remember to close this tab.

      3. From this tab, you can now print the occupancy map to your printer using the print button in the left pane.


      Missing Occupancy Map Colors or Borders
      If your print preview does not show all of the occupancy map colors and borders, you must first turn on the print background graphics setting for your browser.

      To do this:

      1. From your print preview (step 3 above), click the blue “print” button on the top right corner of the screen.

      2. Click on the “more settings” in the left pane to get more printing options.

      3. Check the box next to “background graphics”.

      You should now be able to print the occupancy map as it displays in the preview (with all colors and borders).

         

       

      Print Occupancy Map On One Page

      If your occupancy map is printing on more than one page, you may be able to fit it onto just one page.


      To try this:

      From your printable version of the occupancy map, (step 4 of printing instructions), you have access to your printer’s settings. From the left pane on this window, choose the Print using system dialog option.

      This will open the printer settings. These settings are specific to each printer, so they cannot be covered in detail here. However, you will want to select your printer in this dialog and click the Preferences button. Then, look for an option called “Fit to Paper Size”,  “Fit one page”, or similar. This option will allow you to scale your document down to one page for printing.

      Please note, when scaling down the document, if the occupancy map becomes very narrow, you may increase the printable width in the occupancy map preview window (step 2 in the printing instructions and shown below).

      Printing from Internet Explorer

      For ease of printing, please consider using the Google Chrome browser. For correct printing in Internet Explorer, you will need to print the occupancy map to one page. Please review the instructions for this below.

       

      1. From the occupancy map, select the print icon on the occupancy map toolbar. This will open the “Print Occupancy Map” window.

      2. On the print occupancy map window, choose your start date, the number of days you would like to print, and the page width.

      *If you are printing to 8.5” x 11” paper, choose a width of 8” for portrait orientation or 10.5” for landscape orientation.

       

      1. After making your selections, click the preview button to generate the printable occupancy map.  (Note: You must first generate this preview before you can print.)

      1. Select the print button (PrintButton.png) in the upper right-hand corner of the screen to open a printable version of what you just previewed in step 3. This printable version will open in a new browser tab in Internet Explorer. You should be automatically taken to this tab.

       

      1. Next, select File > Print Preview from the Internet Explorer menu bar to see how it will look when it comes out of the printer.  From this step, you might need to make some adjustments to get the best printing from Internet Explorer. For your occupancy map to print correctly, it must fit on one page.

      Print Occupancy Map On One Page

      For proper printing of the occupancy map from Internet Explorer, you must set the options for printing to one page. If the occupancy map extends more than one page, Internet Explorer will push your room name columns to the other page instead of printing them where they belong.


      To print to one page:

      1. From step 5 above (print preview), check if the occupancy map will be printing to more than one page by checking the page navigation bar at the bottom of the screen for multiple pages.

        *If this page navigator says “Page 1 of 1”, you are all set to print to the printer on one page and may skip the rest of the steps in this yellow box.

      2. To reduce your occupancy map to one page, you can select the shrink-to-fit fit percentage from the drop-down on the toolbar (see screenshot below). This percentage will reduce your document by the percentage that you choose. Start with 50% and adjust up or down from there until you have your occupancy map on one page in a readable size.

        One thing to note is that if you fit it onto the page vertically/heightwise and find that it is very narrow horizontally/widthwise, you can go back to step 2 of the printing instructions and specify a new, wider printing width (also shown below). For example, say you reduce your document by 50% and had set 8” wide in step 2. You may be able to increase it to 10” or 11” so that when it is reduced by 50%, it will be readable, yet on one page.

        **If you do not see the shrink to print option, you may have to enable it in the settings. Please click the gear icon on the print preview window to get the settings dialog. Then, check the box for Enable Shrink-to-fit.

      3. Once you are satisfied with the size and it fits one page, you may click print and send your occupancy map to your printer.



      Missing Occupancy Map Colors or Borders
      If your print preview does not show all of the occupancy map colors and borders,  you must first turn on the print background graphics setting for your browser.

      To do this:

      1. From your printable version of the occupancy map (step 4 of printing instructions), select File > Print Preview from the Internet Explorer menu bar. This will open up Internet Explorer’s “print preview” dialog.

      2. Click on the Page Setup button (gear icon) on the top menu of the print preview dialog window or press ALT+U on your keyboard to open up the Page Setup options dialog.

      3. Check the  box next to background graphics to enable printing of all the occupancy map colors and borders.

      If the background colors and borders do not show up right away, you need to cause the print preview to refresh. A quick way to do this is to change the page orientation and then change it back using the buttons at the top of the toolbar.

      This will refresh the preview and you should now see the borders and colors.

       

      1. Once you are happy with the print preview, you can now print the occupancy map to the printer by selecting File > Print from the Internet Explorer menu bar or by pressing CTRL+P on your keyboard to bring up the printer dialog box.

      Printing from Firefox

      1. From your printable version of the occupancy map, (step 4 of printing instructions), click print from the Firefox menu. This opens a print preview of your document.

      2. From the Firefox print preview window, click the Page Setup button for additional printing options.

      3. Make sure to check the box for Print Background (colors & images).

      4. Click the ok button to save your changes. Your print preview should update and show all the colors and borders for your occupancy map.

       

      1. Once you are happy with the print preview, you can now print the occupancy map to the printer by clicking the print button in the Firefox print preview window.
